Wholesale wedding details for organizers: how to maintain margins and quality

Wholesale wedding details for organizers: how not to break margins or quality

If you’re a wedding planner, run a restaurant’s wedding hall, or coordinate event catering, you know the guest detail is the item that takes the longest to finalize and the first thing couples see when reviewing the budget. We manufacture batches from 50 units, one-by-one production in Spain, invoice with your VAT number, and deadlines tailored to the event.

A reliable B2B supplier for wedding planners is one that combines three things: pricing based on actual volume, predictable deadlines (not "depends on the workshop"), and piece-by-piece traceability so no name is misspelled. That’s the minimum set. Then you build a long-term relationship: the restaurant with a hall that hosts 30-50 weddings a year needs the same supplier every time.

The three errors that burn your margin when outsourcing details

Error 1: buying from a different supplier for each wedding. Each event is negotiated from scratch, quality must be validated every time, and things can go wrong each time. When coordinating multiple weddings per month, this transaction cost eats into the margin you had on the detail. The alternative: an open account with a supplier who knows your volume and deadlines.

Error 2: accepting vague deadlines from the supplier. "It will arrive about a week before." That’s not good for an event with a fixed date. You need a firm deadline by contract, ideally with a buffer margin for incidents. We produce one by one and provide a firm deadline when the order is confirmed.

Error 3: choosing the prettiest detail without considering production. An elaborate design may be unfeasible for 150 units in 2 weeks. Before finalizing with the couple, it’s best to confirm production feasibility with the supplier. We honestly tell you if a detail is feasible within your timeframe; we don’t accept orders we can’t fulfill.

Frequently Asked Questions

Do you work with wedding planners and organizers who are not the bride and groom?

Yes, it is one of our usual channels. We invoice directly to the wedding planner / catering with your tax ID, not to the couple. You manage the relationship with the final client.

Can we order different designs in the same order (e.g., different names per table)?

Yes. Each piece is engraved individually, so we can vary the name/text per unit. You send us the list in Excel or CSV and we produce according to the table.

What happens if the wedding is canceled or postponed?

If the piece is already produced (engraved with specific names), no returns are possible — these are personalized products. If the order is still in production, we can stop and re-invoice adapting to the new event (keeping the unengraved material).

Do you accept urgent orders under 10 days?

We check availability on a case-by-case basis. In low season (October-March) we can do 7-10 day orders for small volumes. In high season (April-September) the schedule is busier, but we confirm quickly.

Do you do physical samples before producing the full batch?

Yes. For orders of 100 units or more, we send a physical sample piece (at a reasonable cost) before producing the full batch. You validate color, engraving, and finish in person.

Do you work only with weddings or also communions / baptisms / corporate events?

We handle all social events with a customizable catalog. Weddings, communions, baptisms, baby showers, special birthdays, corporate events. Dozens of events coordinated annually.

Shall we estimate the details of your next event?

Send us the number of guests, target date, and a couple of models you are considering. We will provide a fixed quote within 24-48 hours with a firm deadline and payment terms.
